We’re looking for an Office Administrator with a can-do attitude to support senior leadership at a growing public affairs and political marketing firm.Creative Direct, LINK Public Affairs, and their affiliated family of companies are full-service marketing, research, and public affairs firms producing unique, compelling creative and strategy for each of our clients. We strive to win for our clients through top-notch design and a high-touch, personalized approach to customer service.What your day-to-day will look like:
- Coordinate and manage scheduling for senior partner, including complex travel arrangements
- Serve as the office connector—the go-to person who keeps the team informed, aligned, and running smoothly
- Organize and prepare for meetings, gathering necessary documents and managing logistics
- Plan and coordinate one to two annual company retreats or all-hands meetings
- Anticipate needs and follow through proactively to keep operations running smoothly
- Prepare, reconcile, and submit expense reports
- Prepare and send client invoices, track payments, and follow up on outstanding balances
- Process vendor payments and maintain accurate financial records
- Coordinate employee onboarding and offboarding, including new hire paperwork, equipment setup, and system access
- Maintain personnel files and assist with basic HR administrative tasks
- Maintain confidential and sensitive information with discretion
- Support general office administrative tasks as needed
What we’re looking for:
- Highly organized with excellent time management skills and the ability to think ahead
- Strong written and verbal communication skills with the discretion to interact with elected officials, campaign staff, and high-profile clients
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
- Ability to juggle multiple priorities and keep projects moving forward
- A problem-solver who takes initiative and looks for ways to improve systems and processes
- Comfortable learning new software and systems
Nice to have (but not required):
- Experience with accounting software, particularly Sage Intacct
- Background in bookkeeping, accounts receivable/payable, or basic accounting functions
- Familiarity with HR administration, onboarding processes, or office management
